1. Who we are (data controller)

2. Scope

This policy applies to personal data we process when you visit soswebs.com, contact us, request a free mockup, become a client, or when we contact businesses to offer our services. It does not apply to third-party websites we link to.

3. Personal data we collect

  • Information you give us — when you submit the contact form or email us: your name, email address, the business you represent, and the contents of your message. If you become a client, also billing details, the materials you send us, and project communications.
  • Business contact data we collect from public sources — where we identify a business that may benefit from our services, we may process publicly available business contact details (e.g. business name, address, public business email or phone, public listing data). See section 5.
  • Technical data — when you visit the site, our hosting provider automatically logs limited technical information such as IP address, browser type, pages requested and timestamps, in server logs used for security and reliability.
  • Consent & preferences — your cookie choice, stored locally in your browser.

We do not intentionally collect special categories of personal data, and we ask you not to send them to us.

5. Business outreach (cold contact)

Part of what we do is identify local businesses that have no website or an outdated one and offer to help. When we do this we rely on our legitimate interest (and, where relevant, the ePrivacy rules permitting business-to-business electronic marketing of similar services). We:

  • use only contact details that are publicly available from official or open sources — we do not scrape prohibited sources or buy personal-data lists;
  • contact businesses, not consumers, about services genuinely relevant to them;
  • identify ourselves clearly and include a simple way to opt out in every message;
  • honour every opt-out by adding the contact to a suppression list that we check before any future contact.

You can object to this processing at any time (see “Your rights”). To stop all contact, email info@soswebs.com or use the unsubscribe link in our message.

6. Service providers (processors)

We share personal data only with providers that help us run the business, under contracts that require them to protect it and use it only on our instructions. These include:

  • Web & email hosting — to serve this website and operate our @soswebs.com mailboxes.
  • Email delivery — to send and receive our correspondence.
  • Messaging — where you reach us via a messaging channel, the relevant messaging provider.
  • AI tooling — we may use AI services to help draft website content and proposals. We do not send special-category data to them, and they do not use our data to train their models on a commercial-data basis.
  • Accounting — our bookkeeper/accountant for invoicing and tax compliance.

We do not sell your personal data. We may disclose data if required by law or to establish, exercise or defend legal claims.

7. International transfers

Most processing takes place within the European Economic Area (EEA). Where a provider processes data outside the EEA (for example certain AI or messaging services), we ensure an appropriate safeguard is in place — typically the European Commission’s Standard Contractual Clauses or an adequacy decision. You may request details of the safeguards used.

8. How long we keep data

  • Enquiries & mockups that do not become projects — up to 12 months, then deleted.
  • Client project & contract records — for the duration of the engagement and up to 10 years afterwards where needed to defend legal claims.
  • Accounting & invoices — 10 years, as required by Lithuanian law.
  • Server logs — a short rolling period for security.
  • Suppression / opt-out records — kept for as long as needed to honour your opt-out.

9. Your rights

Under the GDPR you have the right to: access your data; rectify inaccurate data; erase data; restrict or object to processing (including objecting to our outreach); data portability; and to withdraw consent at any time (without affecting prior processing). To exercise any right, email info@soswebs.com. We respond within one month. There is normally no charge.

10. Cookies & similar technologies

We use only essential browser storage by default. Non-essential cookies (such as analytics) are loaded only with your consent. You can change your choice anytime via . Full details are in our Cookie Policy.

11. Security

We apply appropriate technical and organisational measures — encryption in transit (HTTPS), access controls, encrypted storage of credentials, and the principle of least access — to protect personal data against loss, misuse and unauthorised access.

12. Children

Our services are aimed at businesses. We do not knowingly collect personal data from children. If you believe a child has provided us data, contact us and we will delete it.

13. Changes to this policy

We may update this policy from time to time. The “Last updated” date above shows the latest version. Material changes will be highlighted on this page.
